BOOKING POLICIES FOR THE JACKSON CENTRE

The following booking policies have been established for the Jackson Centre to better serve clients, increase availability of dates for major revenue producing events, and reduce the need for taxpayer dollars to subsidize City facilities.

Priorities:

First priority for scheduling facilities and dates at Jackson Centre is given to state and regional conventions, trade shows, meetings, and similar activities that generate significant attendance from outside the Jackson area, and have a major impact on the travel and tourism industries. Generally, this involves a significant block of hotel rooms.

Second priority for scheduling facilities and dates is given to touring shows presented by qualified promoters, frequent users, and multiple-day or repeat consumer shows. These events are usually open to the public and are revenue producing events. Scheduling commitments for second priority events will not be confirmed more than 18 months in advance of the event. Contracts may be executed and rates may be guaranteed up to 12 months in advance of the date.

Third priority for scheduling facilities and dates is given to one-time multiple-day events and annual events. Scheduling commitments for third priority events will not be confirmed more than 12 months in advance of the event. Contracts may be executed and rates may be guaranteed up to 9 months in advance of the date.

Fourth priority for scheduling facilities and dates is given to single-day events. Activities will not be confirmed more than 6 months in advance of the event and contracts executed at that time.

Glossary of Terms

When scheduling facilities and dates, the following terms and definitions apply to reservations for the Jackson Centre.

Qualified Promoter

A qualified promoter has presented an event at the Jackson Centre and has satisfied all previous Jackson Centre contractual agreements – or – a new promoter who has successfully applied for a License Application. A $50 application fee is required with the application for credit reports and background checks. A new promoter becomes a qualified promoter when license application has been approved by Jackson Centre management.

Tentative Hold

All tentative holds will be for a maximum of 14 days (two weeks). In that time, it is expected the client will either confirm the date(s) and request a contract or release the date(s). If the client has not confirmed the date(s), the date(s) become available for others to book. A designation of event type and/or headliner must be given for the facility to hold any dates.

Challenges

A tentative date can be challenged under the following conditions. The client challenging the date will present payment equal to the minimum rent of the facility challenged. At the time the challenge deposit is received, the first client will be notified by phone or letter and has five (5) working days from the time of the challenge to present the required deposit and signed contract. If the first client secures the date, the second client will receive a full refund. If the first client fails to secure the date, the second client shall be required to execute a contract immediately.

Multiple Holds

Prospective users may reserve more than one event date for the same show/event, provided, in the sole opinion of Jackson Centre management, the reservations have not been made for the purpose of preventing reservations or holds by others, especially competitors. Such “defensive holds” can be canceled at the discretion of Jackson Centre management.

Definite

Facilities and dates are considered a definite or contractual commitment ONLY upon execution of a contract by the event sponsor and the Jackson Centre, specifying all details of the commitment.

Frequent User

A producer of five (5) or more events at Jackson Centre facilities within a year. Other factors, such as total event days and gross revenue, may also qualify some users for this category. This will be determined solely by the Jackson Centre management.

Scheduling Other Events

Parts of the facility not included in the client’s rental agreement may be rented to another client without notice, unless otherwise specified in writing.

Deposit Schedule

A 50% deposit is required upon execution of a formal Jackson Centre Agreement.
